Who we are
Vivid Consultant is a trading name of Vivid Consultancy Group Limited, a company registered in Trinidad and Tobago. This policy explains what information we collect when you use vividconsultant.com, why we collect it, and how we look after it.
Information we collect
We collect information that you provide directly to us and limited technical information generated when you use the website. The information collected depends on how you interact with the website.
Where you provide information directly, this currently happens in two places on this site:
- The free checklist form: your first name, your property name (optional), and your email address, so we can send you the checklist and follow up about it.
- The free strategy call booking: your name, email address, phone number, and the appointment details you select, so we can confirm and prepare for your call.
If you contact us by WhatsApp, phone, or email, we will also have whatever information you share with us directly in that conversation.
When you visit the website, our hosting, security, analytics and website tools may automatically record limited technical information, such as your IP address, browser type, device type, pages visited, referral source and the date and time of your visit. We currently use Google Analytics to understand how visitors use the website. We use this information to operate, secure, understand and improve the website.
We do not collect payment card details on this website. This site does not process guest bookings or payments; it is where Caribbean hospitality businesses learn about, and enquire about, our direct booking website services.
How we use your information
We use the information you give us to:
- send you the resource you requested, such as the checklist
- confirm, prepare for, and follow up on a strategy call you have booked
- respond to questions you send us
- where you have separately agreed, tell you about our services and share practical direct-booking tips and resources
Every marketing email we send includes an unsubscribe link. You may also ask us directly to stop sending you marketing communications at any time. Transactional emails, such as checklist delivery and appointment confirmation, are sent to fulfil your request rather than to market to you.
How we store your information
Your information is stored on our website’s secure hosting and in the tools we use to run our business, including our email delivery service and our customer relationship (CRM) system. We take reasonable technical and organisational steps to protect it against loss, misuse, or unauthorised access.
Sharing your information
We do not sell or rent your personal information. We may share information with trusted service providers that help us operate our website and business, such as website hosting, email delivery, customer relationship management, appointment scheduling, analytics, security and communications providers.
These providers process information in accordance with their agreements with us and, where applicable, their own privacy policies. We only provide information that is reasonably necessary for the relevant service.
We may also disclose information where required by law, to protect our legal rights, to investigate fraud or security incidents, or in connection with a business reorganisation, merger or transfer, subject to appropriate safeguards.
International processing
Some of the service providers we use may store or process information outside Trinidad and Tobago. Where this happens, we take reasonable steps to select reputable providers and ensure that appropriate contractual, technical or organisational safeguards are in place.
Cookies and similar technologies
We use cookies and similar technologies to operate and secure the website, remember your preferences, and understand how visitors use the website through Google Analytics.
Some cookies are necessary for the website to function. We are in the process of reviewing our use of optional cookies, such as analytics cookies, and intend to introduce clearer consent controls for these. In the meantime, you can control or delete cookies through your browser settings at any time, although disabling necessary cookies may affect some website functions.
Your rights
You can ask us at any time to:
- tell you what information we hold about you and how it has been used or disclosed
- correct information that is wrong or out of date
- delete your information
- stop using your information for marketing
In some cases, we may need to retain limited information to meet a legal obligation, resolve a dispute, maintain business records, prevent fraud or honour an unsubscribe request. We will explain any applicable limitation when responding to your request.
You may also raise a concern about how we have handled your personal information. We will review your concern and respond within a reasonable period.
How long we keep your information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including responding to enquiries, managing appointments, providing requested resources, maintaining business records, meeting legal obligations and resolving disputes.
Marketing contact information is retained until you unsubscribe or ask us to delete it, subject to retaining limited suppression information to ensure that we honour your request. Technical and security logs are kept for a limited period appropriate to their purpose.
We periodically review the information we hold and securely delete or anonymise information that is no longer required.
Children
This website and our services are intended for business owners and adults. We do not knowingly collect information from children.
Changes to this policy
We may update this policy from time to time, for example as our website or services change. The date at the top shows when it was last updated.
